Executive Assistant

Sandvik Mining is looking for an Executive Assistant.


Sandvik Mining, a global market leader in mining and rock excavation, has an opening for an Executive Assistant. This role provides high-level administrative and operational support to the Sales Area Senior Management Team. It is responsible for planning, coordinating, and streamlining team activities with a strong focus on data-driven decision-making and the effective use of digital technologies to enable seamless collaboration across locations. The Executive Assistant plays a critical role in enhancing team productivity, supporting strategic initiatives, and ensuring the smooth execution of leadership priorities.

Safety, Compliance & Organizational Alignment

  • Act in full compliance with Sandvik’s Environment, Health, and Safety (EHS) Vision to achieve Zero Harm.

  • Adhere to and promote Sandvik’s EHS Policy, Procedures, and Framework, embedding a strong safety culture in all operational activities.

  • Ensure all actions align with the Sandvik Way, reflecting organizational values and business priorities.

  • Maintain compliance with health, safety, and quality standards across all activities.

Meetings & Schedule Management

  • Coordinate and manage the SA VP calendar, including scheduling meetings, appointments, and travel. Anticipate and resolve scheduling conflicts proactively.

  • Draft, review, and manage emails, reports, and other communications on behalf of the SA VP (where required).

  • Schedule and coordinate meetings, including preparation of agendas, presentations, reports, and minutes.

  • Manage attendance, logistics, and technology requirements (video/teleconferencing).

  • Assist in the development and delivery of team outputs including reports, memos, data analysis, and other documentation.

Event and Travel Coordination

  • Organize and support key leadership events such as the Sales Area Reviews, monthly management meetings, and the Annual Sales Area Kick-Off.

  • Organize and manage travel and accommodation bookings, including handling changes and special requirements for the management team (where required).

Project Coordination & Support

  • Track progress of strategic initiatives and assist in coordinating cross-functional projects.

  • Prepare status updates and follow up on action items to ensure timely completion.

  • Maintain the Management Team database in SharePoint and establish a collaborative platform to enhance internal communication.

  • Maintain a location register of key organizational stakeholders to support effective communication and planning.

EXPERIENCE

  • 5+ years’ experience in a senior administrative or executive support role, preferably supporting senior leadership in a complex or matrixed organization.

  • Demonstrated experience in managing high-level meetings, preparing executive reports and presentations, and coordinating travel and logistics.

  • Proven track record in using digital collaboration tools and platforms to support remote and hybrid teams.

  • Demonstrated experience in event management.

EDUCATION

  • Diploma or Certificate in Business Administration, Executive Assistance or related discipline preferred

OTHER

This role is primarily office-based.

The position involves working in both administrative and hands-on settings, with occasional travel and the need to adhere to site-specific safety protocols and PPE requirements.

Flexibility and adaptability are essential to support operational needs across varied locations.
